These General Terms & Conditions apply to all tour packages, travel services, hotel bookings, transportation, cruises, activities and other services arranged by Travel Tips Vietnam Co., Ltd. (“Travel Tips Vietnam”, “we”, “us” or “our”) unless otherwise stated in a written quotation, booking confirmation or service agreement.

By confirming a booking with us, the client (“you”, “your” or “traveler”) acknowledges and agrees to these Terms & Conditions.

  1. RESERVATION & BOOKING CONFIRMATION

All reservations and service requests should be made in writing through our official website, email, WhatsApp or other official communication channels provided by Travel Tips Vietnam.

Our reservations team will normally respond to inquiries and reservation requests within 24 hours, subject to weekends, public holidays and the complexity of the requested services.

A reservation is considered confirmed only after Travel Tips Vietnam has issued a written booking confirmation and the required deposit or payment has been received, unless otherwise agreed in writing.

Once a booking is confirmed, we will send the booking confirmation and invoice to the email address or WhatsApp number provided by the client.

If a requested hotel, flight, cruise, transportation service, activity or other service is unavailable, we will offer suitable alternative options whenever possible. Any change in price or service resulting from an alternative arrangement will be advised to the client for approval before confirmation.

  1. DEPOSIT & PAYMENT

Unless otherwise specified in the quotation or booking confirmation, a 30% deposit of the total booking value is required upon confirmation of the tour.

For certain services, suppliers may require a higher or non-refundable advance payment. In such cases, Travel Tips Vietnam may request an additional deposit or payment from the client before confirming the service.

Final Payment

Unless otherwise stated in writing, the remaining balance must be paid no later than 45 days before the scheduled departure/arrival date.

For bookings made within 45 days of departure, full payment may be required at the time of confirmation.

Travel Tips Vietnam reserves the right to cancel or release unconfirmed services if the required payment is not received by the agreed payment deadline.

Payment Methods

Payment may be made by:

  • Bank transfer
  • Major credit cards, including Visa, Mastercard and American Express
  • Other secure online payment methods offered or approved by Travel Tips Vietnam

For credit card payments, the following transaction fees may apply:

  • Visa / Mastercard: 3.5%
  • American Express: 3.0%

Unless otherwise agreed, these transaction fees are not included in the quoted tour price.

Bank Charges

For bank transfers, all bank charges, correspondent bank fees and other remittance costs are the responsibility of the client.

The full invoiced amount must be received in the Travel Tips Vietnam bank account. Any amount deducted by the client’s bank or an intermediary/correspondent bank must be covered by the client.

After full payment has been received, Travel Tips Vietnam will provide the relevant hotel vouchers, service confirmations and/or final itinerary by email or WhatsApp, as applicable.

  1. BOOKING AMENDMENTS

We understand that travel plans may change, and we will make reasonable efforts to accommodate amendments to confirmed bookings.

Requests for changes should be sent to info@traveltipsvietnam.com or through our official WhatsApp contact, quoting the relevant booking number.

Depending on the nature and timing of the requested amendment, additional charges may apply. These may include:

  • Supplier amendment fees
  • Airline, railway or cruise charges
  • Hotel amendment or cancellation charges
  • Transportation or activity charges
  • Difference in the price of the revised service
  • Administrative or other applicable fees

We will advise the client of any additional costs before processing the amendment whenever possible.

A revised itinerary and/or invoice will be issued once the amended services have been confirmed.

Where a travel voucher is used for a rebooking or amendment, the terms and validity conditions of that voucher will also apply.

  1. CANCELLATION POLICY

Unless different cancellation conditions are specifically stated in the quotation or booking confirmation, the following cancellation policy applies to bookings with travel dates from 1 June 2026 onwards.

Cancellation charges are calculated based on the total booking value per reservation/group, excluding any additional supplier charges where applicable.

14–7 days before arrival 70% of total booking value, plus applicable non-refundable supplier charges
Less than 7 days before arrival / No-show 100% of total booking value

Certain services, including flights, cruises, hotels, train tickets, entrance tickets and special activities, may have stricter cancellation conditions imposed by the relevant supplier. Such conditions will apply where applicable and will be advised at the time of quotation or booking.

Cancellation Notes

  • Cancellation requests must be made in writing.
  • The applicable cancellation date will be based on the date and time Travel Tips Vietnam receives the written cancellation request.
  • Any refund will normally be processed through the same payment method used for the original payment.
  • Bank charges, credit card fees, payment gateway fees and correspondent bank charges incurred in processing a refund may be deducted from the refundable amount.
  • Administrative and payment processing fees already incurred are generally non-refundable.
  • Where a supplier’s cancellation policy is stricter than the standard policy above, the supplier’s actual charges will apply.
  1. REFUND OF UNUSED SERVICES

No refund will normally be provided for services that are unused, partially used or voluntarily missed after the trip or service has commenced.

This includes, but is not limited to:

  • Unused hotel nights
  • Missed transportation
  • Missed tours or activities
  • Unused meals
  • Late arrival or early departure
  • Failure to participate in an included service

Exceptions may be considered where a refund is specifically approved by the relevant supplier or where required by applicable law.

  1. CHANGES CAUSED BY UNFORESEEN CIRCUMSTANCES

Travel arrangements may occasionally be affected by circumstances beyond the reasonable control of Travel Tips Vietnam, including but not limited to:

  • Severe weather and natural disasters
  • Floods, storms or other extreme weather conditions
  • Government restrictions or regulations
  • Flight, train or cruise schedule changes
  • Transportation disruptions
  • Strikes or industrial action
  • Political or civil disturbances
  • Public health emergencies
  • Security-related circumstances
  • Other force majeure events

In such circumstances, Travel Tips Vietnam will make reasonable efforts to assist the client and, where possible, arrange alternative services of a similar standard and value.

Any additional costs arising from such changes may be payable by the client where they are not covered by suppliers, insurance or other applicable arrangements.

  1. LIABILITY

Travel Tips Vietnam acts as a travel organizer and/or intermediary in arranging services provided by hotels, airlines, cruise operators, transportation companies, restaurants, guides, activity providers and other independent suppliers.

We will use reasonable care in selecting and coordinating these services. However, we cannot be held responsible for circumstances that are beyond our reasonable control or for the acts, omissions, delays or service failures of independent suppliers, except where otherwise required by applicable law.

Travel Tips Vietnam will make reasonable efforts to assist clients in resolving problems that arise during their trip.

Airline schedules, road conditions, weather, local regulations, operational circumstances and other factors may require changes to the itinerary. Where necessary, we will endeavor to provide a suitable alternative arrangement of comparable value and quality whenever reasonably possible.

Clients are responsible for complying with local laws, safety instructions and the reasonable instructions of tour guides, drivers and service providers.

  1. PASSPORT, VISA & TRAVEL DOCUMENTS

It is the traveler’s responsibility to ensure that all required travel documents are valid and available before departure.

Unless otherwise advised in writing, travelers should ensure that:

  • Their passport meets the validity requirements of the destination country.
  • The passport contains sufficient blank pages where required.
  • Any required visa or entry permit has been obtained before travel.
  • All required immigration, health and other travel documents are valid.

Travel Tips Vietnam may provide general information regarding visa and entry requirements, but the traveler remains responsible for checking the latest requirements with the relevant embassy, consulate or immigration authority.

Travel Tips Vietnam is not responsible for costs arising from denied boarding, denied entry, invalid travel documents, visa issues or failure to meet immigration requirements.

  1. TRAVEL INSURANCE

Travel insurance is not included in our tour prices unless specifically stated in the quotation or booking confirmation.

We strongly recommend that all travelers obtain comprehensive travel insurance before departure.

Depending on the nature of the trip, appropriate coverage may include:

  • Trip cancellation and interruption
  • Medical and emergency expenses
  • Emergency evacuation
  • Lost, delayed or damaged baggage
  • Personal belongings
  • Travel delays
  • Personal accident
  • Other risks relevant to the destination and activities

Travelers should carefully review their insurance policy to ensure that it provides adequate coverage for their specific trip and activities.

Travel Tips Vietnam is not an insurance provider and cannot guarantee that any particular loss or expense will be covered by an insurance policy.

  1. HOTEL & ROOM ARRANGEMENTS

Hotel bookings are subject to availability and confirmation by the respective hotels.

Room types, bedding arrangements, check-in/check-out times, facilities and hotel policies are subject to the individual hotel’s terms and operating conditions.

Special requests such as connecting rooms, high floors, early check-in, late check-out, specific bedding or room locations will be forwarded to the hotel but cannot be guaranteed unless confirmed in writing by the hotel.

  1. ITINERARY & SERVICE CHANGES

The itinerary provided at the time of booking represents the planned travel arrangements.

For operational, safety, weather, traffic, supplier or other reasonable circumstances, Travel Tips Vietnam may make adjustments to the order, timing or routing of activities.

We will endeavor to maintain the main experiences and overall value of the agreed itinerary.

If a significant service change is required, we will inform the client and, where reasonably possible, offer an appropriate alternative.

  1. CHILDREN & SPECIAL REQUIREMENTS

Clients should inform Travel Tips Vietnam of any special requirements at the time of booking, including:

  • Children and infants
  • Dietary requirements
  • Food allergies
  • Mobility requirements
  • Medical or accessibility considerations relevant to the trip
  • Special room requirements
  • Other important service requests

Any applicable child policies, extra beds, meals, entrance fees and transportation charges will depend on the relevant supplier and will be advised in the quotation or booking confirmation.

  1. CLIENT RESPONSIBILITIES

Travelers are expected to:

  • Provide accurate personal and travel information at the time of booking.
  • Check their booking confirmation and notify us of any errors promptly.
  • Carry all required travel documents.
  • Follow local laws and regulations.
  • Follow reasonable safety instructions provided by guides, drivers and service providers.
  • Take reasonable care of their personal belongings.
  • Respect local communities, cultural sites and the environment.

Travel Tips Vietnam may decline to provide a service where a traveler’s behavior creates a serious safety risk or significantly disrupts the experience of other travelers or service providers.

  1. COMPLAINTS & ASSISTANCE DURING THE TRIP

If a problem occurs during your trip, please contact Travel Tips Vietnam or your assigned tour representative as soon as possible so that we have a reasonable opportunity to assist and resolve the matter while the service is still in progress.

Complaints that are raised only after the completion of the trip may be more difficult to resolve, particularly where the relevant supplier needs to investigate the matter while the service is operating.

  1. GENERAL PROVISIONS

These Terms & Conditions should be read together with the relevant quotation, booking confirmation, invoice and itinerary issued by Travel Tips Vietnam.

Where a specific written agreement or supplier condition differs from these General Terms & Conditions, the specific written condition applicable to the relevant service will prevail.

Travel Tips Vietnam reserves the right to update these Terms & Conditions from time to time. The Terms & Conditions applicable to a confirmed booking will normally be those provided to the client at the time of confirmation, unless otherwise required by applicable law or agreed in writing.
